3. What data we collect
We only collect what we need. Specifically:
- Booking data via Calendly — your name, email, phone number (if you choose to share it) and the details you provide when you book a discovery call.
- Email enquiries — if you email us directly at hello@alloyautomations.co.uk, we hold your name, email address and the content of your message.
- Technical data via Cloudflare — IP address, browser type, pages visited and date/time, used for security and site performance.
- Cookie data — see our Cookie Policy for the detail.
We do not use Google Analytics, Facebook Pixel, LinkedIn Insight Tag or any other advertising or tracking technologies on this website.
4. How we use your data
We only process personal data where we have a lawful basis under UK GDPR. The lawful bases we rely on are:
- Legitimate interest — replying to your enquiries, providing the services you've asked us about, and improving the website.
- Contract — delivering any services you've purchased from us.
- Legal obligation — keeping records for tax, accounting and regulatory compliance.
5. Who we share your data with
We use a small number of trusted third-party processors to run the business. These are:
- Calendly — booking data for discovery calls. US-based; covered by UK GDPR Standard Contractual Clauses.
- Cloudflare — hosting, CDN and bot protection. Global infrastructure.
- Stripe — card payments, if you become a paying client.
- FreeAgent — accounting software used to keep client records.
- Vonage — phone numbers and SMS used to deliver services to clients (not used by website visitors directly).
- HMRC and other regulators — where we are legally required to share information.
We do not sell personal data to third parties. Ever.
6. International data transfers
Some of the processors above (including Calendly and Cloudflare) may process your data outside the UK. Where that happens, we rely on UK GDPR-approved safeguards — Standard Contractual Clauses and the UK International Data Transfer Addendum — to make sure your data is protected to UK standards.
7. How long we keep data
- Enquiry data (unconverted) — up to 24 months from the last contact, then deleted.
- Client records — 6 years after the end of the engagement, to meet HMRC requirements.
- Website technical logs — up to 30 days.
8. Your rights under UK GDPR
You have the following rights in relation to your personal data:
- Right of access — ask for a copy of the data we hold about you.
- Right to rectification — ask us to correct data that is wrong or incomplete.
- Right to erasure — ask us to delete your data where there is no good reason for us to keep it.
- Right to restrict processing — ask us to pause processing while a concern is resolved.
- Right to data portability — ask for your data in a structured, machine-readable format.
- Right to object — object to processing based on legitimate interest.
- Rights relating to automated decision-making — we do not make automated decisions that produce legal or similarly significant effects.
- Right to withdraw consent — where we rely on your consent, you can withdraw it at any time.
To exercise any of these rights, email hello@alloyautomations.co.uk. We will respond within one month.
9. Right to complain
If you are not happy with how we've handled your data, you can complain to the Information Commissioner's Office (ICO). You can reach them at ico.org.uk. We'd appreciate the chance to sort it out first, so please consider emailing us before going to the ICO.
10. Security
We use industry-standard measures to protect your data — HTTPS across the site, access controls on our internal systems, and encrypted data stores where applicable. No online service can guarantee absolute security, but we take it seriously and work with reputable processors.
11. Changes to this policy
We may update this policy from time to time. Material changes will be dated and visible on this page. If a change significantly affects how we handle your data, we will let existing clients know directly.
12. Contact
